Getting Started with Cataloging (the Inventory App)

How to Import a Single Bibliographic Record:

  1. Have the record identifier available for the title you wish to import.
    • Note: The identifier will be determined by the source you are importing your record from. This could be the LCCN for Library of Congress, the OCLC number for Worldcat, etc.
  2. Go to the 'Inventory' app.
  3. Click on the 'Actions' menu in the top right corner and choose 'Import'.
  4. Ensure the 'External target' has the appropriate source selected and 'Select the profile to be used' dropdown has ‘Inventory Single Record - Default Create Instance (Default)’ selected and enter the Identifier of the record you want to import into the second text box.
    • Your library may choose to create a custom profile to import records and if that is the case, the default profile may have a different name.
  5. Click ‘Import’.
  6. If the import was successful, a toast message will appear notifying you and the instance record will automatically open.
  7. You can now view the MARC by opening the 'Instance' record, clicking on the 'Actions' menu in the top right corner and selecting 'View source'.


How to Modify the MARC record:

  1. Go to the ‘Inventory’ app.
  2. Find the instance record associated with the record you want to modify using the ‘Search & filter’ pane options.
  3. Click on ‘Actions’ and choose ‘Edit MARC bibliographic record’ under the ‘quickMARC’ section.
  4. Edit the MARC and when complete, click on ‘Save & close’. 



How to Add an Item Record:

  1. Go to the ‘Inventory’ app.
  2. Find the instance record for which you want to attach an item record using the ‘Search & filter’ pane options.
  3. If a holdings record does not already exist that represents the location & call# combination you want associated with the item, you will need to create one.
    1. Click ‘Add holdings’.
    2. Fill out the required fields (*) and any additional information as appropriate.
    3. Click ‘Save & close’.
  4. Select the holdings record for which the item is to be associated by clicking on the ‘Add item’ button next to the chosen record.

How to Change Item Status:

  1. Go to the ‘Inventory’ app.
  2. Under ‘Search & filter’, find the item record.
  3. In the upper right corner, from the dropdown menu of ‘Actions’, click on the desired status under “Mark as”, and then click on Confirm.
    • Some statuses can only be cleared using the circulation app. If the status you wish to change something to isn't on the list, 


How to Move an Item Record From One Holdings Record to Another:

  1. Go to the ‘Inventory’ app.
  2. Find the instance record for which you want to move an item record using the ‘Search & filter’ pane options.
  3. Select the holdings record from which the item is to be moved.
  4. Click on ‘Actions’ and choose ‘Move items within an instance.’
  5. Mark the checkbox of the item you want to move.
  6. Click on ‘Move to’ and choose the Holdings record to which the item is to be moved.
  7.  If a holdings record does not already exist that represents the location to which you want to move an item, you will need to create one.
    1. Click ‘Add holdings’.
    2. Fill out the required fields (*) and any additional information as appropriate.
    3. Click ‘Save & close’.
    4. Follow steps 3 through 6.
