How to Perform a Bulk Edit in FOLIO

NOTE: Bulk edit permissions need to be assigned by your local institution to grant access to this app.


What are you editing?

As of the Quesnelia release, Bulk Edit can be used to apply changes to the following record types:

  • Inventory - Holdings
  • Inventory - Instance
    • Instances with source MARC can be edited as of the Ramsons release. 
  • Inventory - Items
  • Users

Note: Not all fields within these records can be bulk edited. 


Identifying records:

There are multiple ways to pull together the set of records you would like to bulk edit:

  • You can run a search in Inventory and export a list of identifiers for all of the records.
  • You can run a query in Metadb to identify a group of records and save a csv of the corresponding identifiers.
  • You can use the Query option in the Bulk Edit app create your record set.


Review the record set

Once you have uploaded your file of identifiers, or run the query in Bulk Edit, review the preview of records as well as any errors reported. At this point, you can choose to export a CSV of errors, review the records individually, or move forward with your edit. If you are ready to proceed, use the Actions menu to select Start bulk edit.


Select edits:

Use the dropdown options to select the field you would like to edit, the qualifier, and the individual data criteria. You can use the plus sign on the right of the page to add additional edits that will occur at the same time, and the trashcan to delete anything you do not want to perform. Keep in mind that you will only be able to create edits for the type of record set you identified at the beginning of the process. 


Once you have completed your edits, click on on Confirm changes. This will give you a preview of what the edits will look like, and give you the option to Keep editing if things don't look right. If the results are as expected, you can Commit changes and the edits will be performed. 


Once the edits are completed, the number of successfully changed records will display at the top of the screen and you will have the option to download a csv of the successful changes, as well as any errors that might have occurred.


Within the UI, under the Logs tab, you are able to download all of the individual files from the process for 30 days.
